Complexity driven by uncertainty
“From an aviation perspective, the World Cup is uniquely complex,” says Aniko Mersek, Senior Vice President – Sales at Chapman Freeborn. “Travel schedules often depend on match results, meaning flights may only be confirmed once a team progresses to the next stage. Add to that the fact that matches are spread across three countries, and flexibility becomes essential.”
Airport congestion is another critical factor. Slots at major hubs are expected to fill quickly, particularly during peak match days. In response, Chapman Freeborn teams have already conducted assessments of alternative and secondary airports, offering clients greater flexibility, reduced congestion, and, in some cases, more cost-effective solutions. At the same time, availability of larger aircraft capable of transporting full teams and staff remains limited, prompting early engagement with operators to secure suitable capacity well ahead of the tournament.
Why charter flights fit the world cup model
Private and charter aviation is particularly well suited to major sporting events, where timing, privacy, and efficiency are paramount.
“Charter flights allow teams and fans to travel on their own schedule, without the delays, crowds, and uncertainty that come with large commercial airports,” Mersek explains. “Being rested, avoiding long security lines, and staying together as a group can make a significant difference – especially during a demanding tournament.”
With commercial seat availability expected to be constrained in host cities, charter solutions also allow larger groups to travel together on a single aircraft, rather than being split across multiple scheduled services.
Planning starts early
While final match schedules may only take shape closer to the tournament, planning often begins much earlier. “Some travelers start preparing up to two years in advance, particularly once host cities are announced,” says Mersek. “Fans are extremely passionate and when it comes to following their Team’s matches, early planning helps secure the right aircraft and routing options before demand peaks”.

Tailored aircraft solutions
Chapman Freeborn’s experience in large-scale sports charters allows it to offer a wide range of aircraft types. “There is no one-size-fits-all solution,” Mersek notes. “We tailor every proposal based on group size, routing, and priorities, chartering anything from small turboprops to widebody aircraft such as the Boeing 777.”

Travel quality plays a vital role in athlete performance during international tournaments. Charter flights can be configured to support rest, privacy, and specific onboard requirements.
“We consider everything from seating comfort and onboard rest to dietary needs,” Mersek says. “By minimizing stress and disruption, teams and fans can stay focused and arrive ready to perform or support.”
Moving equipment seamlessly
Transporting teams also means moving equipment – often at short notice and across borders. With in-house cargo expertise and decades of charter experience, Chapman Freeborn can coordinate passenger and cargo movements together or separately, depending on operational needs.
“In many cases, equipment travels with the team, but when required, we can arrange dedicated cargo charters to ensure everything arrives safely and on time,” Mersek explains.
Security and privacy at the forefront
Security and discretion remain key considerations for teams, sponsors, fans and high-profile travelers. Smaller charter flights typically operate from Fixed Base Operators (FBOs), providing restricted access and a more private environment compared to public terminals. For larger groups, tailored solutions can further streamline the passenger experience, subject to regulatory requirements.
